Refund & Cancellation Policy

1. Principles of Professional Advisory Engagements

Vision Prismhub provides dedicated executive time, codebase diagnostics, and tailored strategic documentation. Because our services represent specialized professional time commitments and proprietary intellectual advisory work, standard physical retail return policies do not apply. This policy outlines fair, transparent conditions for cancellations, rescheduling, and fee adjustments.

2. Monthly Fractional CTO Retainers

• Notice of Termination: Retainer contracts operate on an initial 3-month commitment, after which they convert to rolling monthly terms. Either party may cancel the recurring retainer with fourteen (14) days written notice prior to the start of the next billing cycle.
• Unused Advisory Hours: Retainers reserve dedicated executive capacity each calendar month. Unused hours within an active month do not roll over and are non-refundable once the billing cycle commences.
• Early Termination for Cause: If Vision Prismhub fails to deliver scheduled advisory reviews or violates agreed confidentiality terms, the client is entitled to a prorated refund for unrendered hours in that billing period.

3. Fixed-Scope Diagnostic Audits & Sprints

• Pre-Commencement Cancellation: If a client cancels a scheduled Architecture Diagnostic Audit or Due Diligence Sprint at least five (5) business days before repository access is granted and work begins, a full refund of any advance deposit is issued minus a 5% administrative processing fee.
• Work Already Started: Once repository inspection, code analysis, or discovery interviews have commenced, deposits are non-refundable. If the project is terminated mid-engagement, fees will be calculated based on the milestone percentage completed, and any excess prepayments will be refunded.
• Delivered Final Reports: Once final audit deliverables and executive presentations are completed and handed over, fees are fully earned and non-refundable.

4. Advisory Sessions & Workshop Rescheduling

Individual strategy sessions or on-site team workshops may be rescheduled with at least twenty-four (24) hours advance written notice without penalty. No-shows or cancellations made less than 24 hours prior to a scheduled session are billed as rendered time against the monthly retainer or session fee.

5. Refund Request Protocol & Processing Timelines

To initiate a formal refund or fee adjustment request, the authorized client representative must submit a written notice to info@vision-prismhub.click detailing the engagement contract reference, reason for request, and relevant milestones.

• Review Period: We review and respond to all refund requests within five (5) business days.
• Processing & Disbursement: Approved refunds are credited back using the original payment method (bank transfer or corporate wire) within seven to ten (7-10) business days following approval.
